A unique (and fairly urgent) opportunity has become available for a highly organised superyacht professional looking to transition their skillset ashore in this fast-paced personal assistant role, for a lovely principle based in Melbourne.
This position is a true “right-hand” position ensure the personal and professional needs of the principle are met, and where possible pre-empted, at all times.
|Key POSITION responsibilities:|
Management and scheduling of all events in liaison with the company’s Brands Executive AssistantsStays one step ahead preparing and anticipating personal needs at events, including but not limited to, printing documents, arranging gifts, ensuing thank you notes/presents are on hand, presentations are preparedWorks ahead to confirm all arrangements and liaises directly with key contacts at venues such as conference facilities, restaurants, hotels, contact Executive Assistants, etc Manages diary conflicts efficiently and with diplomacyMaintains appropriate communication to ensure Principle is up to date on daily schedule and changes/decisions that need to be made
Able to efficiently project manage complex travel logistics including flights, drivers, hotel arrangements, business luncheons/dinners, private luncheons/dinners and entertainmentProvides principal handling every moment-to-moment detail of travel plans, co-ordinating in real time with supplies, contacts and support staff and troubleshooting issues as requiredPro-active regarding personal preferences and needs and continually evolves knowledge as each travel plan is executed Manages the packing and unpacking requirements associated with trips including shipping pre and post travelTakes a pro-active approach to personal time by staying abreast of opportunities such as art galleries showings, theatre performances and age appropriate entertainment for the family
Work with Executive Assistants at company Brands to ensure smooth integration of personal and professional diariesEnsures regular communication channel to company Brands Executive Assistants and provides support as needed when family is away and/or workload is slightly less
Manage a wide range (A-Z) of requests of both personal and professional naturePrioritise requests to ensure the most important are delivered in timely mannerRespond efficiently and appropriately taking into account the urgency, importance and impacts of the requestWork with suppliers and contacts to ensure deadlines are met and specific needs are delivered on accuratelyTroubleshoot issues with suppliers and contacts as a best can and escalate only where absolutely necessary
